Athletic and Auxiliary Programming Director

Position: Athletic and Auxiliary Programming Director

Summary: The Shining Mountain Waldorf School Athletic and Auxiliary Programming Director’s primary responsibility is to develop and coordinate the high school and middle school sports programs, as well as managing auxiliary activities school wide (summer camps, circus, clubs, and year round programming). The goal is to establish and maintain a positive culture of athletics and activities participation that supports Shining Mountain Waldorf School’s developmental view of childhood and adolescence, and its mission of imbuing imagination, a sense of truth, and a feeling of responsibility in its students.
The athletic director's duties involve three general categories of responsibility: managerial, developmental and administrative.
Managerial Duties
Manage and work with students, parents, coaches, and school personnel to ensure that the SMWS athletic and auxiliary programs are achieving their goals and are fostering a positive culture.
Recruit coaches, mentors and camp counselors, evaluate resumes, and conduct preliminary interviews. Adhere to SMWS hiring procedure when hiring coaches, mentors, and camp counselors.
Provide for professional development of coaches, mentors and camp counselors, which includes: coordinating and conducting orientation training, coordinating a Positive Coaching professional development program for coaches, and coordinating a technical and tactical professional development program.
Communicate frequently with coaches, mentors, and camp counselors to stay abreast of issues pertaining to their teams, clubs and camps.
Ensure the coaches, mentors, and camp counselors are fulfilling their duties and meeting the expectations of the Athletic and Auxiliary Programming Director by regularly attending and observing meetings, practices and games.
Conduct post-season evaluations and semi-annual meetings with coaches, mentors, and camp counselors.
Hosting of athletic and other related events, which includes: coordinating volunteers, publicity and concessions.
Serve as Event Manager for all home games and promote positive sportsmanship and ethical conduct.
Coordinate and manage summer athletic camps.
Program Development Duties
Work with school leadership and the community to create a vision for the growth and development of the athletic and auxiliary programing and work to achieve that vision.
Revise existing policies and procedures and create new ones as necessary to support the objectives of the Athletic Program and reflect a positive culture of athletics.
Oversee existing clubs and summer camps and work with school leadership to expand these offerings to year round programming.
Create initiatives and work closely with school leadership and parent volunteers to fund and develop new and creative initiatives that shall bring continuity and depth to each sport and auxiliary program.
Facilitate Athletic Program “Parent Education” meetings.
Organize and conduct pre-season orientation meetings with students, parents and coaches.
Administrative Duties
Schedule all athletic contests, practices, camps and clubs. Work with other areas of the school as you attempt to avoid key dates and ensure the minimum amount of conflict with other school events. Communicate with faculty/staff (class teachers, subject teachers and the High School Director) about schedules and early release requests.
Work with the Campus Operations Director to coordinate Festival Hall.
Work with the League Officials Assignor to schedule, update and confirm game officials.
Make team travel arrangements, which include: vehicle reservations, volunteer driver arrangements, gas arrangements, lodging and food when necessary.
Coordinate team pictures as well as game photos to be used at banquets and in the yearbook.
Coordinate and manage athletic budget.
Collaborate with the Business Office on financial issues pertaining to athletics, camps and clubs, which include: collection and deposit of participation fees, grant management, coaches/mentors/counselors’ contracts, check requests and purchases, admissions and concessions deposits, etc.
Stay abreast of CHSAA (Colorado High School Activities Association) regulations and guidelines for team athletic participation. Submit team rosters and additional forms in a timely manner. Update member school information. Work with coaches to obtain their CHSAA registration. Attend CHSAA meetings when possible.
Oversee uniform, equipment, and first aid inventory and allocation for all sports.
Create, update, distribute and collect necessary forms for registration.
Regularly communicate key information to coaches, mentors, counselors, parents and players, including schedule changes, directions to away events, rosters, etc.
Respond in a timely manner to phone messages, mail, and email.
Communicate with news media when necessary and comply with their requests for information.
Communicate with the facilities team about needs of the athletic and auxiliary program and the Festival Hall, including maintenance and problem-solving.
Monitor eligibility of all student-athletes through attendance of high school faculty meetings and a position on the middle school support team.
Work with administration regarding driver eligibility for parents and coaches. Ensure they provide the required information.
Perform close-down duties after hosting home games.
Coordinate end-of-season special events such as Post Season Banquets, Student-Faculty games and Senior Appreciation night for all high school sports.
Education and Desirable Traits
An understanding of and commitment to Shining Mountain Waldorf School’s educational values and an intention to support and promote those values within athletic and auxiliary programming.
Understanding of Waldorf pedagogy and philosophy as related to child development, athletics and movement. Bachelor’s Degree preferred.
Possesses a love of interscholastic athletics and desire to support the pursuits of student athletes.
Experience in education and working with student athletes.
Prior Athletic Director experience or substantial experience in senior coaching positions, preferably with Waldorf or other independent school experience.
Strong organizational skills and resource management skills.
Effective interpersonal skills, management skills and problem-solving skills.
Ease in public speaking.
Able to work both as a leader and as part of a team.
Basic competence with computer software and a willingness/aptitude to learn and master scheduling and additional software as necessary.
Work Setting
Office environment in gymnasium setting.
Outdoor interaction with parents and community members cultivating relationship building.
Occasional weekend and evening hours.
Salary, Hours, and Benefits
This is a ¾ time salary position. (Exempt)
Year-round administrative position.
