Admissions & Family Support Coordinator

Primrose Hill School (PHS) in Rhinebeck, New York seeks an Admissions and Family Support Coordinator for immediate employment. Join us at a school where your voice and freedom is valued and the children come first. We are seeking a warm and nurturing individual, who has experience working with families, possesses enthusiasm and motivation to work collaboratively with colleagues, and will demonstrate a familiarity and interest in the philosophy and methods of Waldorf Early Childhood & Grades Education.
The Admissions and Family Support Coordinator serves as a primary contact person for families throughout the inquiry and admissions process, from initial introduction to Waldorf education and Primrose Hill School through open houses, individual tours, and special events. Oversees the recruitment and enrollment of students, managing the enrollment process, developing and implementing a recruitment and retention strategy, guiding families through the admissions and non-curricular school process, tracking and reviewing new student applications. The Coordinator also works with the Faculty and Family Association to create and promote certain events and gatherings. This position serves as a thought partner with and creator of content for the school's mission and vision. The Coordinator works collaboratively with the rest of the Administrative team and is accountable to the School Directors.
Regular duties include but are not limited:
Maintain and manage TADs, the student management system
Coordinate parent questions and concerns directly and with teachers
Encourage teacher communications to help with family education and awareness
Participate in two committees aligned with goals of the role
Manage systems for reviewing and scheduling child visits for placement
Compose the weekly messenger (e-mail newsletter)
Help capture meaningful photos across campus and share with appropriate contributors for use in variety of mediums (social media, marketing etc)
Attend Family Association meetings and support members to do work with the school
Market and promote summer camp program and develop local relationships to recruit new families
Coordinate with faculty and staff for any regular areas of development and growth to improve areas of the school, especially in response to family member requests.
Maintain student records
Achieve compliance with student files including waivers, letters of tuition agreement, health records and keep records current by regularly reaching out to families to update.
Assist with certain office duties as needed
Complete BEDS report and other reports related to reporting on student and family matters. (Income surveys, COVID reporting and the like)
This is a full-time, year-round, salaried position. The Coordinator is expected to work 5 days per week during the year from 8am-4pm with modification to hours during the summer pending programmatic decisions and schedules.. This position sometimes requires weekend and evening hours.
Desired Skills
Strong knowledge of Waldorf principles and curriculum preferred, although the right candidate would be supported to gain the necessary knowledge.
Experience with recruitment and admissions or another administrative role in a school.
Warm, professional demeanor; excellent customer service and people skills.
Ability to work in a team environment in addition to working independently, using own initiative.
Strong organizational skills and ability to prioritize effectively.
Ability to multi-task in a fast-paced environment and ability to adhere to timelines.
Strong written and oral communications skills.
