Operations Manager

OPERATIONS MANAGER
The Operations Manager (OM) provides leadership regarding personnel, facilities, programs and business matters. The OM is responsible for administrative success of the school.
Direct Reports:
▪ Office staff with respect to business matters
▪ On-site maintenance person
▪ After Care personnel
▪ Meal Program personnel
▪ School Traffic/ Crossing Guard personnel
▪ Janitorial staff
Reports to:
▪ Business Manager, Executive Director
Budget/Finance:
▪ Process and oversee AP, AR, reimbursements/disbursements, and payroll
▪ Prepare instructional minutes schedule and work with ED to create the school year calendar
▪ Meal Program financials
▪ After Care Program accounting
Community and Committees:
▪ Work closely with Business Manager, if any, to ensure sound fiscal practices and timely and accurate fiscal reporting
▪ Represent school in outside alliances, organizations, and events that require administrative and business expertise (SCOE, Resig, etc.)
▪ Attend quarterly online and in-person meetings for Business Managers as provided by CCSA, SCOE, Resig and other informational groups
▪ Coordinate parent volunteers and volunteer projects and events
Insurance:
▪ Oversee all insurance coverage, policies, reporting and implementation
▪ Work closely with insurance providers, such as Resig
▪ Lead all worker’s comp related situations
▪ Oversee risk management and insurance coverage at all levels of the organization
Reports:
• SUSD Annual Update (due November 1 every year)
• CalSAAS
• Resig reports
• Health and Safety Reports/Plans
• Civil Rights Report (in collaboration with other office staff, but lead the report)
• Assist Office Manager and School Secretary with other reports as necessary
Human Resources:
▪ Oversee delegated HR functions, including benefits
▪ Oversee, lead and track all required employee training, such as CPR/First Aid, Mandated Reporter, etc.
▪ Manage all HR paperwork for applicants, new employees and current employee
▪ Onboard new employees
▪ Track attendance, credentialing, fingerprinting, TB Test and other administrative requirements for all staff
▪ Maintain confidential personnel files
▪ Coordinate revisions of Employee Handbook
Facilities:
▪ Oversee facilities maintenance and organization
▪ Schedule and oversee all repairs; Maintain list of applicable vendors for facilities needs
General Oversight/Operations:
▪ Oversee IT infrastructure, computer maintenance/repairs for the school, Google Drive
▪ After Care Program policies, compliance and personnel
▪ Meal Program policies, compliance and personnel
▪ Parking lot traffic, crosswalk supervision and related personnel
▪ Oversee janitorial services and related personnel
▪ Oversee emergency preparedness plans and procedures including scheduling fire/lockdown/earthquake drills throughout the school year
▪ Maintain all safety and emergency supplies
▪ Responsible for safety of students, faculty, staff, and parents while on campus or at school activities
▪ Ensure that appropriate health and safety policies are in place and implemented appropriately
▪ Schedule regular/emergency maintenance as needed
▪ Maintain inventory of school assets
▪ Flexible in stepping in for recess duty, supervision of students, cleaning, etc when necessary
▪ Maintain good vendor relationships
▪ Respond to questions from the school community and the public related to responsibilities
▪ Oversee, revise and maintain Covid-related records, plans, dashboard, reporting and documents.
Work Schedule
• Full-Time: 230 work days, 10 holidays, 21 paid vacation days
• Hours: 8am – 4:30pm
• Exempt Management/Professional Position (not eligible for overtime pay)
• Flexibility to occasionally attend school board meeting, school event, classroom presentation in an evening
Compensation
• Full Time: $70,000
• Benefits: $1,150/mo towards employer-provided health insurance plan; Family dental coverage; Vision Plan; 401(a) 5% annual contribution
The Operations Manager must possess or meet the following standards:
• BA Degree
• A minimum of two years of human resources, facilities and reporting work in a school, government or business setting.
• Valid California Driver’s license and evidence of automobile insurance based on appropriate DMV regulations.
• California and Federal fingerprint clearance to work with school age students.
• Current TB clearance.
• Ability to lift and carry up to 30 pounds
• Visual acuity to read reports and numbers as part of the daily activities and sit for long periods of time.
Qualifications
• Possesses a high degree of accuracy, neatness and pride in his/her work and performance.
• Possesses a high degree of personal honesty and integrity.
• Possesses an effective and appropriate level of energy and resilience to perform the assigned tasks.
• Is able to communicate effectively in writing and orally with staff and work as a member of a team.
• Has the ability to operate a variety of office equipment in the daily performance of his/her work.
• Demonstrates the ability to work effectively with people of diverse backgrounds.
• Is able to differentiate between issues of a minor nature and those that require serious and timely attention.
• Possesses an appropriate sense of humor for working in a professional education setting with young students, parents, public and school staff.
