Receptionist

Description Summary
The School Receptionist is the first point of contact, the face and voice, of the school. The Receptionist always approaches each interaction with a warm, professional, and helpful attitude. Interactions, both in-person and over the phone, will include parents, enrolled students, prospective families, vendors, and other community members.
In addition to welcoming visitors and directing them to accurate information, the Receptionist is responsible for a variety of administrative tasks and must be organized and able to multi-task.

Responsibility 1:
First Point of Contact, Face of the School
A warm, professional, and helpful face and voice of the school.
Main School Phone
Responsible for managing the main phone line, answering callers’ questions, and/or directing them to the correct person or contact.
Three Main Entry Doors
Responsible for buzzing in community members through main entry and opening other entry doors as needed for deliveries.

Responsibility 2:
Nurses Station
Serve as the first point of contact for sick students. This could require general first aid, including band-aids or ice packs, and might also include calling parents for an early pick-up. Sick children will wait in the reception area, at a distance from the Receptionist, until the parent picks-up.
Responsibility 3:
Manage School Duty Schedule
Be the main point of contact for school Duties.
Main Contact for Duty Schedule and Process
Post School Duty schedule at the reception desk. Contact faculty/staff members and their Level Chair if they are late for their shift.
Serve as Back-up for Duty shifts
Be ready to fill a duty shift as needed.
Provide needed Duty supplies as needed
Ensure staff members have all necessary tools for each duty. This includes, fully charged walkie-talkies, safety vests, and recess balls.

Responsibility 4:
Support Programmatic Needs
Support student program needs as needed and at the direction of the Operations and Advancement Director.
• Take daily attendance and manage the attendance database for grades 1-12.
• Schedule buses for class trips and field trips
• Stay informed of after school sports game schedule, locations, and bus arrival updates.
• Manage CTA passes for Upper School
• Early Drop-off contact, which will require an arrival time of 7am.
• Order building and classroom supplies at the direction of the Operations and Advancement Director.

Responsibility 5:
Event Support
Support school events as needed and at the direction of the Operations and Advancement Director.
Visitor Attendance
Track attendance to events.
Supply Ordering
Order coffee and other items for events.

Responsibility 6:
Enlivened Workplace
As a member of the administrative team this person must maintain a flexible and collaborative attitude with all faculty and staff; present a welcoming attitude with parents and students; and be an enthusiastic representative of the Chicago Waldorf School.
• A willingness to assist all CWS employees with tasks that might fall outside of job description.
• Serve as a substitute for indoor and outdoor duties.
• Offer support to parents and students at all times.
• Be a positive representative of CWS at all times on campus.




Qualifications and Expectations
• Must provide excellent customer service and possess superior verbal and written communication skills.
• Demonstrated proficiency in using Microsoft Word, Excel, Publisher, PowerPoint, Outlook, etc.
• Demonstrated experience working collaboratively with staff, students, parents, faculty and the public with tact and courtesy.
• First Aid/CPR experience is preferred.
• Must possess the ability to work successfully in a multi-faceted and fast paced environment, handling multiple tasks and projects simultaneously.
• Ability to work with accuracy.
• Must be skillful in exercising judgment with regards to interpersonal communications and have the ability to be flexible and adapt to changing work situations
• Must be willing and able to maintain confidentiality of all information regarding employee communications and personal matters, staff records, faculty records, student records and personal matters.
• Demonstrated reliability and dependability.
• Experience in working with budgets and supply ordering.

Additional Preferred Qualifications:
• Two (2) years of clerical/secretarial/administrative support experience in a professional office setting.
• Demonstrated proficiency in using Blackbaud’s database.

Physical Requirements:
• With or without accommodation, employee in this position needs to move about inside the office, located on the first floor of the west wing of the main building.
• It is necessary to be able to remain stationary about 90% of the time.
• Occasionally must move supplies and equipment, weighing up to 30 pounds up and down three flights of stairs.
• Constantly operates computer and other office machinery.
